How Real Estate Agents Can Use Data Storytelling to Show Their Value

Every agent in your market has the same data. Same units sold. Same list-to-sale ratio. Same days on market.
So why would someone choose you?
On Episode 150 of Know Like Trust for Real Estate, I sat down with Whitley Crawford, a communication strategist who turns scattered data into stories people act on. Whitley works in the nonprofit world, and I love bringing in voices from outside real estate. Fresh eyes help us see our own businesses differently.
Ask the question nonprofits ask: Is anyone better off?
Whitley introduced me to Results-Based Accountability, a framework built on three questions:
How much did we do?
How well did we do it?
Is anyone better off?
Your sales volume answers the first question. The third question is where your story lives. Think about the first-generation homeowner whose purchase changes what's possible for their whole family, or the client who still loves their neighborhood a year later.
Numbers start the conversation
At Michelson Philanthropies, Whitley built a dashboard that compared cost per learner across grant partners. One long-time partner had reached over 70,000 learners at about $2 per learner, while others ranged from $50 to $200. That single data point sparked new programs and a renewed energy in the partnership.
For agents, the lesson is simple: decide what success means to you, use the words your local audience uses, and explain your numbers so clearly that they open a conversation.
Let your clients tell your story
When you say you're great, it sounds like bragging. When a client says it, it sounds like the truth. Whitley's approach to testimonial videos that feel real:
Ask five questions, tops
Let them talk
Ask what they didn't love, too
Find your sound bites afterward
Build a dashboard you'll use
Start with one CRM and one spreadsheet. Track the three to five questions you get asked most. Google Sheets works well, and with the right extensions, it can connect to CRMs like HubSpot or Salesforce. Use bar charts and before-and-after comparisons to see your busy season, your real sales cycle, and how often past clients respond when you follow up.
Use AI, and protect your clients' privacy
AI can help with automations and data cleanup, but it's a tool, not a magic fix. Check your privacy settings, how long data is retained, and whether it's used to train models. Leave out private details, or use unique client IDs instead of names.
Your next step
Find one past client and listen to their story. What did they want to accomplish? Did they? That's your data, and that's your story.
